1. Scope and current status
PRORESMAT Herbal Clinic (“PRORESMAT”, “we”, “us” or “our”) is a Ghanaian traditional healthcare business. This policy applies to information handled in connection with PRORESMAT's services, communications and the digital platform being developed for clients, traditional medicine practitioners and herbal clinics.
The present website is informational. Online booking, product purchasing, payment and health-document features are not currently offered through this website. References below to platform functions explain how information will be handled when the relevant functions become operational.
2. Information we may collect
Depending on how a person interacts with PRORESMAT, we may collect:
- Identity and contact information: name, email address, telephone number and account details.
- Appointment and service information: requested provider, consultation format, preferred date and time, service history and communications about an appointment.
- Health-related information: symptoms, consultation reasons, prescriptions, laboratory results or other health documents that a user voluntarily provides for a consultation or service. Such information will only be requested when relevant.
- Professional verification information: for practitioners and clinics, identity, qualifications, professional registration, licence or facility information, business details, expiry dates, submitted documents and review decisions.
- Order and transaction information: services or products requested, amounts, transaction references, payment status, receipts, refunds and fulfilment records.
- Communications: enquiries, complaints, support requests, feedback and related correspondence.
- Technical information: when applicable, IP address, device or browser information, security logs, and essential cookie or similar data needed to operate and protect a website or platform.
3. Payment information
When online payments become available, they may be processed by third-party payment providers such as Paystack. PRORESMAT may receive a transaction reference, amount, payment status and limited payment-method information needed for reconciliation, receipts, refunds and fraud prevention. PRORESMAT does not need to store a user's full payment-card number or card security code. Payment providers process payment details under their own privacy and security terms.
4. How information may be obtained
Information may be provided directly by a user, collected during the provision of a service, supplied by a practitioner or clinic as part of verification, received from a payment or technical service provider, or generated through lawful platform activity and security records. The current informational website does not itself provide account, booking, payment, upload or purchasing functions.
5. How we use information
- to respond to enquiries and provide requested services;
- to create and manage accounts when platform accounts become available;
- to arrange consultations, orders, follow-up and customer support;
- to verify practitioners, clinics, facilities and product-listing information;
- to process and reconcile payments, receipts, refunds and provider settlements;
- to maintain safety, security, audit records and prevent misuse or fraud;
- to investigate complaints, service concerns and suspected adverse events;
- to comply with applicable legal, regulatory, accounting and reporting obligations; and
- to improve PRORESMAT's services using appropriately limited or aggregated information where practical.
6. Sharing of information
PRORESMAT may share only the information reasonably necessary with:
- a verified practitioner or clinic selected by the client, to arrange or deliver the requested service;
- service providers supporting hosting, communications, security, document storage, delivery, administration or customer support, subject to appropriate safeguards;
- payment processors such as Paystack for payment processing, verification, refunds and fraud prevention;
- regulators, professional bodies, law-enforcement agencies, courts or other authorities where disclosure is required or permitted by applicable law; and
- professional advisers or insurers where reasonably necessary to protect lawful interests or address a claim.
PRORESMAT does not sell personal health information. A practitioner or clinic remains responsible for information it independently collects and processes in its own professional practice.
7. Legal and data-protection principles
PRORESMAT aims to handle personal information lawfully, fairly and transparently, for specified purposes, and in a manner proportionate to those purposes. We seek to keep information accurate, limit retention, protect confidentiality and respect applicable rights, consistently with Ghana's Data Protection Act, 2012 (Act 843) and other applicable requirements. This statement does not claim any registration, certification or approval that has not been obtained.
8. Security safeguards
Reasonable organisational and technical safeguards will be used according to the sensitivity of the information and the stage of platform operation. These may include access controls, role-based permissions, secure transmission, restricted administrative access, activity records, backups, service-provider review and procedures for responding to suspected incidents. No internet transmission or storage system can be guaranteed to be completely secure.
9. Retention
Information will be retained only for as long as reasonably necessary for the purpose for which it was collected, including clinical or service continuity, verification, transaction reconciliation, complaints, safety, legal, regulatory, accounting and audit requirements. Different categories may require different retention periods. When information is no longer required, PRORESMAT will take reasonable steps to delete, anonymise or securely restrict it.
10. Cookies and technical data
The current informational website may use only technical mechanisms needed for reliable delivery, security and language or basic site operation. If optional analytics, advertising or other non-essential cookies are introduced, appropriate information and choices will be provided before they are used where required.
11. Your rights and choices
Subject to applicable law and appropriate identity verification, a person may ask PRORESMAT to explain how their information is used, request access or correction, object to or request restriction of certain processing, withdraw a consent where processing depends on consent, or request deletion where there is no overriding legal or operational reason to retain the information. A person may also make a privacy complaint. Some requests may be limited by clinical-record, legal, regulatory, fraud-prevention or other lawful retention duties.
12. Children and minors
PRORESMAT services are not intended to enable minors to create independent accounts or provide health information without appropriate parental or guardian involvement. Where services for a minor are appropriate, we may require the consent and contact details of a parent or lawful guardian, while respecting the minor's interests and applicable law.
13. Third-party services and links
Third-party providers and linked websites have their own terms and privacy practices. PRORESMAT is not responsible for an independent third party's website, but will seek to use service providers appropriate to the information and function involved.
14. Changes to this policy
This policy may be updated as the platform and services develop or legal requirements change. The current version and effective date will be published on this page. Material changes affecting operational platform users will be communicated through an appropriate channel when such functionality becomes available.
15. Contact
Questions, requests or complaints about privacy may be sent to benoitnguessan@proresmat.com. Please do not send urgent or highly sensitive health information through ordinary email. This contact route does not provide emergency medical assistance.
